The CallTime.AI built-in power dialer is the most advanced tool available for fundraising, and our most successful users are those that really maximize its benefits. If you are just getting started on the power dialer, we recommend you start by reading this how-to article.
Below, we explain some common use-cases for getting the most out of your dialer. No matter how you're organizing call time, here are some tips:
- Put all your calls for the day onto a list. Especially when calling alone, you want to minimize the amount of extraneous work you have to do during call time that isn't making calls. Do as much prep work ahead of time as possible and put contacts onto a call list only when that contact is ready to be called.
- Call through your list in descending score-order, and try not to skip anyone. Staying disciplined about this will save you a lot of wasted time between calls, and ensure you are consistently focused on your best leads.
- Pre-record voicemails ahead of time, rather than repeat yourself over and over again.
Doing call time alone
While it's always ideal to have support, CallTime.AI was designed to make unstaffed call time productive. Here are some tips for doing so:
- Don't turn Auto-Advance on. We recommend sending a quick follow up email or text message after most calls, so if you're calling alone, it's best to use the fast email and text tools to quickly send out a template-based follow-up before manually advancing to the next call.
- Avoid closing the power dialer pop-up module. This module can easily be dragged around your screen, and you can take any action in your account while it is open. So keeping it open just saves you some clicks. But if you ever need to close it, just click Active Session or the top-bar to quickly re-open it.
Assisted call time
Having some assistance during call time can help make things even more efficient. Here are some tips for getting the most out of your dialer sessions when both the candidate and someone else assisting (i.e., a "staffer.")
- Log in from two devices, with two different user accounts. Your CallTime.AI account comes with unlimited user access, and we recommend having both users- the candidate, and the staffer- logged into their own accounts, on their own devices during call time. This allows both users to move at slightly different paces, which is helpful for maximizing the time of both (more on this below).
- The candidate should call into the dial session, and conference in the staffer. This will allow the candidate to control his/her dialer, while allowing the staffer to listen in on the calls and support with logging, note-taking, and real time follow-up.
- Candidate: Turn on auto-advance and click through your call list, using the one-click auto-logging for all outcomes. When you do connect with someone just log the Connected outcome in the power dialer pop-up module-- let the staffer take any necessary notes, and log any other relevant information (see below).
- Staffer: Follow just behind the candidate, sending any appropriate follow-up emails/text messages. When the candidate does connect with someone, you can instantly jump to the page they are on, and you should see a blue button indicating your candidate is Talking to... that contact. Click that button to open the log call dialogue box, so you can fully capture any notes, asks, pledges, and/or commitments that stem from the conversation.
Please note: Only one user can add notes to the same call log at the same time-- to avoid overwriting another users' call notes on the same log, be sure only one person is leaving notes at a time.
Fully staffed call time
Some users opt to have a staffer manage every aspect of the call time session, leaving to the candidate only the responsibility of being ready to jump into a conversation when a connection is made. Here are some tips for that approach:
- Log in from two devices, with two different user accounts. Your CallTime.AI account comes with unlimited user access, and we recommend having both users- the candidate, and the staffer- logged into their own accounts, on their own devices during call time. This allows both users to move at slightly different paces, which is helpful for maximizing the time of both (more on this below).
- The staffer should call into the dial session, and conference in the candidate. This will allow the staffer to control the candidate's phone, while also allowing the staffer to listen in on the calls and support with logging, note-taking, and real time follow-up.
- Staffer: Use the power dialer to advance your candidate's phone through calls. When you connect with someone, you can begin logging the notes, pledges, commitments, etc., into the power dialer pop-up module. When the call ends, you may still have more logging to do, but wish to advance your candidate's phone to the next call. If so, simply log the call, advance the dialer to the next call (consider using auto-advance), and while that call is connecting, you can go back to the prior page and edit the call log. If you need to quickly jump back to the call that is connecting, simply click on the top-bar or the Active Session buttons, then click on the name of the contact being called, and you will instantly jump to that contact.
- Candidate: Click through your call list as the staffer advances your dialer. You can use the "jump to team member" button to quickly jump to your staffer's screen, whenever you need to see a particular contact that they are dialing for you.
